The Challenge

Lockout / Tagout (LOTO) procedures rely on visibility and consistency. Above all,  shared understanding. In this case, the customer wanted a clear, central point for managing isolation activity. Therefore supporting safe routines across maintenance and operational teams.

The goal was to create a visual system that brought equipment, status and supporting information together in one place.

The Solution: A Purpose-Built LOTO Board

A dedicated LOTO board was designed to support daily isolation routines and improve visibility around lockout activity.

So the board included:

  • Lockout padlocks
Providing sufficient capacity for multiple concurrent isolation tasks.

  • Lockout hasps
Allowing multiple individuals to apply personal locks where shared isolation is required.

  • “Do Not Operate” tagout tags
Clearly communicating isolation status at the point of use.

  • Supporting documentation holders, including:

    • a section for “Jobs Completed”

    • a holder for the LOTO template

Most importantly, this ensures both physical isolation devices and supporting paperwork were visible, accessible and easy to manage.

How the Board Is Used

The board acts as a single visual reference point for LOTO activity.

  • Firstly, padlocks and hasps are clearly allocated and returned after use

  • Secondly, tagout tags are readily available and consistently applied

  • In addition, completed jobs are clearly separated from active work

  • Further, LOTO templates are accessible, supporting a standard approach to documentation

This structure helps teams quickly understand what work is underway, what has been completed, and what equipment is available.

Supporting Daily Routines and Handover

One of the key benefits of the board is how it supports daily routines and shift handovers. By keeping isolation status and documentation visible, incoming teams can quickly understand ongoing activity without relying solely on verbal updates.

Above all, this reinforces consistency across shifts and reduces the likelihood of assumptions being made about equipment status.

Why Visual Structure Matters in LOTO

Most importantly, LOTO procedures are most effective when they are easy to follow and hard to bypass. As a result, by combining locks, tags and documentation into a single visual system, the board supports disciplined use and reinforces agreed ways of working.

So, rather than relying on memory or informal communication, teams have a clear, shared reference point that supports consistent behaviour.

Outcome

This LOTO board provides a practical example of how visual management can support isolation routines by making status, equipment and documentation visible and accessible.

Above all, the result is a clearer, more structured approach to LOTO that supports daily work and reinforces safe, consistent practices.

Our Approach

We create visual management boards everyday. As a result we have plenty of experience. We work for organisations in food production, the power industry, national rail, pharmaceuticals, education, healthcare, packaging and distribution.

Our team works with a simple idea or sketch and creates a professionally designed layout. This is then turned into a highly functional visual management board.

We offer customised options because we want to create the perfect board for you. So, here are a few examples. We can add magnetic areas or a dry-wipe finish (for use with whiteboard pens). Furthermore, you can choose Red/Green sliders or R.A.G. (Red, Amber, Green) status dials so you can quickly and visually update your board. These are just a few examples of the ways in which our boards can be tailored to meet your needs. You may also be interested in whiteboard overlays that can be used on top of an existing magnetic board.
